Add and remove holidays

Things to Note

  • Lube Sticker Pro allows for the programming of days that the shop is closed.

  • No appointments can be made for the days listed in this menu.

  • Review the list of currently added dates and verify that they are indeed the dates that you want as well as to see if you need to add the date you are thinking of.

  • Federal holidays, with fixed dates, for the next ten years are automatically built into the schedule.

  • You will need to enter "floating" holidays such as Thanksgiving, In-house training events and shop vacations for each year. By clicking on the Add or Remove buttons you can edit these days.

Add a date to the Do-Not-Schedule Dates & Holidays

  1. From Lube Sticker Pro main window

  2. Select the Settings Tab (The Lube Sticker Pro settings window opens)

  3. On the left panel navigation select the Appointments option (The Appointments settings window opens)
    At the bottom of the Appointments settings window is the section for Do-Not-Schedule Dates& Holidays.

    1. Select the Add button (The Select Date window opens)

    2. Select the date you would like to add by clicking the drop down arrow next to the date box and navigating to the date you would like to add.  Or select the month, day and year individually and type in.

    3. Select the date you would like to add (It will populate to the date box)

    4. Verify that the date you want is populated in the date box. If not, reselect the correct date.

    5. Select the OK button (You are returned to the Appointments settings window)

    6. Repeat Steps 3.1 - 3.5 for all dates that you would like to add

  4. Important! In the left panel navigation, select and click on Save & Close or all your changes will be lost!

Remove a date from the Do-Not-Schedule Dates & Holidays

  1. From Lube Sticker Pro main window

  2. Select the Settings Tab (The Lube Sticker Pro settings window opens)

  3. On the left panel navigation select the Appointments option (The Appointments settings window opens)
    At the bottom of the Appointments settings window is the section for Do-Not-Schedule Dates& Holidays.

    1. In the list of dates, select the date you would like to remove (The selected date will highlight in yellow)

    2. Select the Remove button

    3. Repeat Step 3.1 - 3.2 for all dates that you would like to remove

  4. Important! In the left panel navigation, select and click on Save & Close or all your changes will be lost!




Appointments Settings Window

Things to Note

  • Auto Add Appointment will schedule the customer with an appointment note AUTOMATED OIL CHANGE by default

  • Appointment Note can be changed to display a customize note
    Shop Open On will give you the ability to customize auto appointments according to the shops availability.

Note: Using the following settings, you can set limits on appointments per day, what time they are scheduled, control the number of jobs per tech and allow for time between appointments and jobs for upselling additional work and service.

  • Auto Add Appointment: box must be selected for proper operation of the scheduling software.
  • Shop Open On:  Select the boxes for the days that your shop is normally open.  Days that are not selected, no appointments will be set for.  This setting can be used to prevent making oil change appointments on days that there may be large numbers of walk-in LOFs, such as Saturday.  By not selecting Saturday, no automatic appointments will be made for that day.
  • Scheduling Start Time:  Most shops will open the doors to the customers before the techs begin to work.  Setting the scheduling start time will allow the system to the preload the shop and have work waiting for the techs when they start their day boosting efficiency.

  • Schedule Hours:  This setting will block out time on a given day for each appointment made.  If an LOF takes .5 hours, this amount of time will be removed from the available time for the day on the calendar for each LOF.  Blocking out time in the appointments calendar permits for better scheduling of appointments for each day preventing under booking or over booking work on any day.

  • Max Appointments Per Day:  Limits the number of LOF appointments that can be made for a day.  If you have dedicated LOF techs, you can use this setting to keep them busy permitting up to two LOFs an hour all day.  Other shops might want to limit the LOF appointments so as to focus on other work each day.

  • Minutes Between Appointments:  Provides a buffer between appointments allowing enough time to interact with each customer.  Adjust to give the service advisor time to speak with each customer and help in preventing lines of customers waiting for write up.

  • Max Appointments Per Timeslot:  If you have one lube tech, you will want to set this for one appointment per time slot.  With two dedicated lube tech, move it to two per time slot.


Auto Add Appointment

  1. From Lube Sticker Pro main window
  2. Select the Settings Tab (The Lube Sticker Pro settings window opens)
  3. On the left panel navigation select the Appointments option (The Appointments settings window opens)
      1. Check the box for Auto Add Appointment
      2. Appointment Note can be changed by selecting and editing.
      3. Start with Shop Open On checking the boxes (Monday-Sunday) for the days you want auto appointment to be set on.  Days not selected will not have appointments scheduled.
      4. The Scheduling Start Time to set the first auto appointment start time
      5.  Schedule Hours to set the oil change scheduled hours per day.
      6. Use the Max Appointment Per Day to set the max appointment in a single day (will not exceed the set number)
      7. Set the number of Minutes Between Appointment to to have time with each customer.
      8. Finally Max Appointment Per Timeslot  to set the max auto appointment per timeslot.
  4. In the left panel navigation, select Save & Close or all changes will be lost.








Automatically add the next oil change recommendation

Recommendations TAB

Auto Add Recommendation:   Lube Sticker Pro will automatically add any recommendations which are loaded in the Pro Pack software that are within a 90-day window of the LOF appointment when this check box is selected.  This window extends from 45 days before and after the LOF appointment preventing multiple text reminders from going to the customer.

Note: Auto Add Recommendation will not pull manually entered recommendations from your shop management system, it only accesses recommendations created through the software.

Recommendation   This text must match your shop management system preference.  Place the text in the provided box, this is the actual text entered in the repair order when it is generated.

Delete Old Recommendations   Selecting this allows the system to delete previous recommendations preventing completed recommendations from be suggested in the future.  Previous LOFs will be deleted as each LOF is completed, so as not to send multiple reminders to a customer through text.

 

Click the Save & Close button to save all changes or they will be lost.



Change the auto recommendations category

Things to Note
Setting up your categories in your shop management system will enable you to better track your parts and labor sales and deliver better reports for
profit and loss. All properly linked categories in Lube Sticker Pro will be included in these categories.

Changing Settings
  1. From the main Lube Sticker Pro window go to click on the Settings TAB then the General Tab.

  2. Lube Sticker Category:   Assigns the oil change to your chosen Category in your shop management system. To change click on the appropriate selection in the drop down menu to assign the oil changes to the right category.

  3. Click the Save & Close button to save all changes or they will be lost.




Change the auto recommendations description

      2. In the Windows Explorer window that opens navigate to the folder that contains your shop logo (Recommended Size - .75in x .75in only recommended for thermal printing. Static Cling labels should use a pre-printed label with the logo on it.)

      3. Select the Open button (The Windows File Explorer window closes and the path to the logo is saved to the Use Image path)

  4. Select the Save & Close button in the left panel navigation

Select the Zebra tab if you have a Static Cling printer

  1. Enter your Shop Name in Line 1. Shop Names longer that 12 or 13 characters should split their Shop Name between Line 1 and Line 2
    ***HINT: Use some leading spaces to center your Shop Name on the Label***

  2. Enter your shop phone in Line 2 or 3.

  3. Optionally rotate your label 180 degrees if it prints upside down

  4. Select the Save Button

  5. Select the Save & Close button in the left panel navigation

Select the Brother tab if you have a Brother P-Touch label printer

  1. Enter your Shop Name in Line 1.

  2. Enter your Shop Address in Line 2 and Line 3

  3. Enter your Shop Phone in Line 4

Create My Own Lube Sticker Template

Things to Note

Lube Sticker Pro automates many processes.  You need to tell it where and what to modify. 

First step in modifying your printed sticker is to identify the printer type and model, and get the appropriate software for that printer.  Below are the printers Lube Sticker Pro supports with what software to use for customizing your sticker.

Dymo

Use the Dymo Labelwriter software that came with your Dymo printer

Brother

Use the Brother P-Touch software that came with your Brother printer

Zebra

Use the ZDesigner software, may require you to purchase from Zebra Technologies

TT040-50

Use the Bartender Label Design software that came with your TecLabel printer

Godex

Use the GoLabel software that came with your Godex printer

How To:

You need to use the following variables to pull the right information from your data base to be printed on your lube sticker. 

The @LINE@ text lines fills in the information you enter.  Such as Shop Name, Shop Phone, Etc.

The date and miles are the two main pieces of information that change for each lube sticker printed. To ensure that Lube Sticker Pro can successfully supply these variables to the template, the following two variable text elements are required on the template

  1. @LINE1@ - this variable text object will be dynamically replaced with the value entered in Line 1 of the Customize Label option which is available in all label templates. It is recommended to limit the number of characters per line to 12 especially with the standard static cling label.

  2. @LINE2@ - this variable text object will be dynamically replaced with the value entered in Line 2 of the Customize Label option which is available in all label templates. It is recommended to limit the number of characters per line to 12 especially with the standard static cling label.

  3. @LINE3@ - this variable text object will be dynamically replaced with the value entered in Line 3 of the Customize Label option which is available in all label templates. It is recommended to limit the number of characters per line to 12 especially with the standard static cling label. This variable is not available by default on the Dymo and Brother labels.

  4. @MILES@ - this variable text object will be dynamically replaced with the next odometer reading

  5. @DATE@ - this variable text object will be dynamically replaced with the next due date

  6. @TYPE@ - this variable text object will be dynamically replaced with your corresponding Oil Type label from Lube Sticker Pro. Defaults are Good, Better, Best but you may customize them to your preference

  7. @TIME@ - this variable text object will be dynamically replaced with the corresponding time for the matching appointment. This works well if you transition the sticker from being an Oil Change reminder to a Next Appointment sticker

  8. @WEIGHT@ - this variable text object will be dynamically replaced with your corresponding entry in to the Viscosity field on the main form of Lube Sticker Pro.




Customize oil change intervals

Things to Note
  • Type in the display names for your 3 Oil Types. These are the names that display on the main screen of Lube Sticker Pro and should match the nomenclature of what you use around your shop for oil changes that you perform most frequently

  • Odometer can be set to any number of miles for the designated oil type.

  •  Days can be set to any number for the designated oil type set for oil type

Oil Type

  1. From Lube Sticker Pro main window

  2. Select the Settings Tab (The Lube Sticker Pro settings window opens)
    On the left panel navigation select the General option (The General settings window opens)

    1. Under Oil Type enter in 3 types of oil, one in each window.

    2. Enter the odometer for each oil type  (3 months=90 days)

    3. Enter the days for each oil type (3,000 MILES)

  3. In the left panel navigation, select Save & Close OR CHANGES ARE LOST.




How To Auto Exit Program After Print

Things to Note

  • This allows for the Lube Sticker Program to close once print is clicked on.
  • To reopen the application either click on the Pro Pack button, or the left most tab of any Pro Pack window to access the launcher window.
  • Leave unchecked if you want the Lube Sticker Pro window to remain open after the Print Button has been clicked on to print a sticker.

How To Auto Exit Program After Print

        How To Change Interval Method

        Things to Note

        • Interval Method will allow you to change between Preset Interval Selection or Manufacture Selection Interval
        • Preset Interval Selection lets you change the oil type name, set the odometer, and days.
        • Manufacture Selection Interval goes by manufacture recommendation and does not allow for any customization.

        Things to Note

        • Lube Sticker Category setting allows you to assign your oil changes to the appropriate category in your Shop Management System.  Assigning jobs to specific categories will give you much more accurate reports on the work being performed.

        • Note:  Setting up accurate categories when first configuring your Shop Management System will make this function work better

        • Lube Sticker Pro will automatically select the last used interval to apply for this lube sticker

        • If the option Use Vehicle History To Calculate Date is selected in your settings, the date will match the predicted date the vehicle will reach the next odometer based on driving habits

        • Viscosity can be printed onto labels (must be enable on template).  When Print is clicked, the viscosity will be memorized by Lube Sticker Pro.


        Print a Lube Sticker

        1. Select Pro Pack button (Pro Pack menu window appears)
        2. Select Lube Sticker Pro (Lube Sticker Pro window appears)
          1. Select Oil Type (Oil Type selection will be defaulted once selected and printed.)
          2. Enter Viscosity, if applicable.

        3. Select the Print button.





        Recommendations settings New

        • Auto Add Recomendation will add a recommendation to the vehicle along with the next mileage and date for an oil change (when box is checked)

        • Recommendation box allows for a customization of the description of the recommendation.

        • Delete Old Recommendations will remove the old oil change recommendation and will add a new recommendation(when box is checked).

        2. Select the Settings Tab (The Lube Sticker Pro settings window opens)
